1. Initial Consultation
Every engagement begins with a conversation. We sit down with our clients to understand not just what they want to host, but why. What is the purpose of the event? Who is the audience? What does success look like? What are the constraints — budget, timeline, expectations?

2. Concept Development
With a clear understanding of the objectives, we develop a concept for the event. This is where creativity meets practicality. We consider themes, formats, venues, and programme structures, always guided by the question: does this serve the purpose?
A great concept is not about being elaborate — it is about being appropriate. The right concept for a ministerial engagement is very different from the right concept for a community fundraiser, and both differ from a corporate product launch. Understanding the context is what makes a concept work.
3. Detailed Planning
Once the concept is agreed, we move into detailed planning. This is where the run sheet takes shape, where suppliers are contracted, where timelines are set, and where every detail is documented. Our planning process covers:
- Venue booking and confirmation
- Catering arrangements, working with partners like Okavango Foods
- Equipment and technical requirements
- Guest invitations and RSVP management
- Programme development and speaker coordination
- Protocol requirements, where applicable
- Transport and accommodation for guests, if needed
- Contingency planning for every foreseeable scenario
By the end of this stage, there should be no unanswered questions. Every task has an owner, a deadline, and a backup.
4. Execution
On the day of the event, our team is on-site well before the first guest arrives. We oversee setup, test equipment, brief staff and suppliers, and manage every aspect of the event as it unfolds.
Our role during execution is to be invisible to guests and indispensable to the client. We handle the logistics, manage the timeline, troubleshoot issues, and ensure that the client can focus entirely on their guests and their programme.
5. Post-Event Review
The event ends, but our work does not. We conduct a thorough post-event review with the client — what worked, what could be improved, and what lessons can be carried forward. We gather feedback, reconcile accounts, and ensure that all post-event follow-up is completed.
This stage is what turns a one-off event into a lasting relationship. Clients who work with us once tend to work with us again, because they see the value of a partner who cares as much about what happens after the event as what happens during it.
